Frequently asked questions about our pricing

Education pricing is for educational organizations such as schools, colleges, universities, and similar institutions. If you purchase an Education subscription, we may ask you to verify your affiliation with an educational institution.

Business pricing is designed for companies and organizations using Seppo for training, onboarding, or transformation purposes. If your organization offers training or continuing education as a commercial service, Business pricing applies.

Your subscription price is primarily based on the number of players you expect to take part in your games. When purchasing a plan, estimate how many people will be playing during your subscription period.

For business customers, pricing also depends on your organization’s size, structure, and support needs — ensuring the solution scales to your goals.

You can create unlimited games with your subscription; pricing only depends on how many players will participate.

A player licence represents one individual who can participate in the games you create.

When purchasing a subscription, you’ll choose how many player licences you need — based on your estimated number of players.

For example, if you expect around 200 people to play your games during your subscription period, you’ll need 200 player licences.

  • You purchase player licences as part of your subscription.
  • Players join a game using a game-specific PIN or QR code. Each login method uses one player licence per game login.
  • Alternatively, players can log in with an email or player account. This allows them to access multiple games, using one player licence per account or email.
  • Player licence quotas reset every three months. Once a licence is freed, it becomes available for new players.
  • Player licences are organisation-specific. When purchasing, estimate the total number of players in your organisation, even if multiple instructors create and manage games.

For Education subscriptions, the minimum purchase is 25 player licences.

For Business subscriptions, the minimum purchase is 50 player licences.

You can purchase up to 1,000 player licences directly from our webshop.

Need more? Contact our team and we’ll tailor a solution for larger groups or enterprise use.

Each subscription includes one instructor account for every 20 player licences.

For example:

  • 50 player licences → 2 instructor accounts (including the owner)
  • 100 player licences → 5 instructor accounts (including the owner)

If you need additional instructor accounts, our team can help tailor the plan to your needs.

The main difference is flexibility versus savings.

  • 3-month subscriptions offer short-term access — great for projects, pilots, or seasonal training.
  • 12-month subscriptions provide the best value for ongoing use, with lower cost per licence over time.

Player licence quotas reset every 3 months in both options.

Each role in Seppo has different levels of access and responsibilities:

  • Owner: Manages the overall subscription and billing, with full admin rights.
  • Admin: Manages users — can add or remove admins and instructors, and has all instructor rights.
  • Instructor: Creates and manages games, tracks progress, and accesses reports.
  • Player: Participates in games and completes tasks.

How can I pay for our subscription?

  • You can pay by credit card or invoice.
  • If electronic invoicing details are not provided, we’ll send the invoice by email.

I want to change our billing period — what do I do?

  • Contact our customer service team at support@seppo.io to update your subscription’s billing period.

I want to update our billing information — what do I do?

  • Contact our customer service team to update your organization’s billing details.

How do I change my credit card information?

  • Log in to the Seppo Webshop. From the front page, go to Step 3: Summary, where your current payment details are visible.
  • Click Edit card in Paytrail to update your card information.

VAT process

  • If your organization is based in the EU, VAT is excluded from your invoice when you provide a valid VAT ID number.
  • If you pay by credit card, VAT is charged automatically.

Increasing player licences

  • Log in to the webshop. Choose a boost or enter the new number of licences in the Exact size field. Proceed to payment and click Update subscription.
  • You’ll be charged for the additional licences for the remaining billing period.
  • The new licences become available immediately.
  • Example: You have a 12-month subscription with 200 licences. Five months before the billing period ends, you add 100 more. You’ll pay immediately for the 100 licences for the remaining five months. When the next billing period starts, you’ll pay for 300 licences for the full 12 months.
  • For subscriptions over 1000 player licences, please contact our customer service team.

Reducing player licences

  • Log in to the webshop and enter your new licence amount in the Exact size field. Continue to payment and click Update subscription.
  • The reduced number of licences takes effect at the start of your next billing period.
  • Example: You have a 12-month subscription with 500 licences. Four months before renewal, you reduce your number to 450. You’ll keep access to 500 licences until your current period ends, and when renewal begins, you’ll pay for 450 licences for 12 months.
